Q: How to setup DNS records for internal-only email?
"Mike in Nebraska" <Mike_Webb[ at ]whoopingcrane.org> 11/21/2008 3:33:25 PM
Setup
DC server running Windows Server 2003 (as part of SBS 2003 Premium), and
Exchange 2003
Member server running Windows Server 2003 Std R2, with SharePoint Server
2007

Goal
To enable designated lists, libraries, etc in SharePoint Server to
receive emails sent only from authenticated users within the domain.

Additional Info
Public Domain - whoopingcrane.org
DC name - wct
Internal Domain - whooper.local
Member Server Name - wct-sharepoint
OU for SharePoint Server (on DC) - MOSS
ISP routes email directly to Exchange; in ESM I've setup a Smart Host
All DNS records maintained by our web-hosting vendor

I have followed the official documentation from MS on how to setup Incoming
Email for SharePoint, but it lacks a bit on a points. I've also read a
paper by Steve Smith, SharePoint MVP on how to do this, but it also lacks a
bit of info I need (I'm still a newbie to DNS). I'd like to have email
addresses that read as "<something>[ at ]MOSS.whoopingcrane.org", but I can't
figure out how or where to do it.

In DNS Manager, the Host (A) record for the member server has a FQDN of
"wct-sharepoint.whooper.local". If I create an MX record, it also uses this
FQDN. I don't know how to change this. I thought of creating an Alias
(CNAME) record, but I think that's only for services on the DC. I tried to
follow the seps, but kept getting undeliverable email notifications, such
as:

There was a SMTP communication problem with the recipient's email server.
Please contact your system administrator.
<whoopingcrane.org #5.5.0 smtp;511 sorry, can't find a valid MX
for rcpt domain (#5.1.1 - chkuser)>
and
fanmail[ at ]moss.whooper.local on 11/20/2008 2:39 PM
The destination server for this recipient could not be found in
Domain Name Service (DNS). Please verify the email address and retry. If
that fails, contact your administrator.
<whoopingcrane.org #5.4.0>

I looked at the DC's event logs and saw some where it got stopped at the
ISP's DNS server - and I don't understand how/why it went out of the domain
to create this error.

It may be that I don't need to use my DNS Manager for this internal email,
(as suggested in one blog post I read), but I'm at a stand-still with this
and hope that the DNS 'gurus' here can point me in the right direction.

Many thanks in advance!

Got it fixed; the problem was with a couple of the service accounts not
associated with the correct service (for SharePoint Server). Still would
like to know how to create a "friendlier" email address.
