Excessive Styles in Word 2007
Steve300 2/27/2007 7:41:00 PM
For any document viewed with Word 2007 the style list is huge and
unmanageable. the two problems I see are:
1) every combination of defined style and one time modification is listed as
a style
2) there seem to be several hundred built in styles including about 10 with
no names.
When the default style needs to be changed it is very difficult to find and
select the new style because of the number of styles displayed.
Is there a way to reduce the list to a manageable size?

If Word 2007 works the same as 2003, you are probably viewing all "available formatting," which includes styles and all formatting used in the document.
Change the drop down to "available styles".

Alternatively, you also might have Word set to "automatically define styles based on my formatting." Uncheck this in Word's options. -- Cardlaw

Thanks but I can't find any options (and there are a few hundred) that
correspond to viewing/available styles, probably because of changes in 2007.

Steve -

It sounds as though you may have the Styles Task Pane open? If not, click
the Dialog Launcher found on the Home Tab, Change Styles group. (itty bitty
little block in lower right corner.)

Now that you have that open, click the Options hyperlink. Change your
"Select Styles to Show" to *In use*
My list is sorted *As Recommended* which puts the built-in styles at the top
of the list (Heading 1, Caption, etc.)

I right click on styles in the list to Modify them. I also create new styles
from that pane, although you can add a style to the Quick Styles Gallery so
that you can use it over and over again. Be aware that as you create new
Style Sets, you are actually creating new templates which are stored at:
Documents and Settings\User Name\Application Data\Microsoft\Quick Styles.

Rahter than repost this question I am reusing it!! This seems to work in new
2007 documents but when I open a 2003 document it does not.. is there a way
around this.

In Word 2003, you can use the Styles and Formatting task pane to determine
which styles should display. See
http://www.shaunakelly.com/word/sfpane/StylesAndFormattingPane.html.

However, as far as I can remember, you cannot choose how to sort the styles
in Word 2003.
