Need to create sub-folders in BCM 2007
Rich 6/28/2007 3:54:00 PM
I need to create a Task Folder in the BCM folder, but I can't. I confirmed
this with Microsoft Tech Support that it's not possible.

I'm sure I'm not the only one who needs to do this.

Please BCM team update BCM 2007 to do this.

Just curious -- what do you want to do with it?

Thanks,
Lon

Lon,
First let me say the book Outlook 2007 Business Contact Manager For Dummies
was excellent. I'm a Microsoft Small Business Specialist and I always
recommend the book to my clients who need to use BCM 2007.

I would like to keep track of my Support Requests that are not project
related. Yes, I could create a new Tasks folder under my personal mailbox
but since it's business related I would like it to be in the BCM folder.
I would also like the Notes I make in the Task to appear in my Office
Accounting 2007 invoice but that doesn't seem possible. Am I correct or is
there a way to get the Task notes to appear on an Office Accounting 2007
invoice?

Thanks Rich -- I appreciate the compliment!

I don't have a PC setup right now with a shared BCM/Office Accounting
database to test this but I'm pretty sure that the Billing Information field
from the Details page in a Task will transfer to Accounting and will appear
on an Invoice. The Total Work field is what you estimated and the Actual
Work field is how many hours you actually are billing for, which transfers
into Accounting.

Try that and let us know what happens, please.

Thanks,
Lon

Lon,

Thank you for the reply.
I did as you suggested but the info I put in the Billing Information Field
did not appear on the invoice. Also I noticed I'm limited to the number of
characters I can type in the billing information field.
I'm hoping to find a way to have the information I type in the Task page in
the Notes area to appear on an invoice. This area allows many more
characters and allows me to be more detailed about labor performed. Also
this information automatically appears in the Comments Field on the Time
Entry window.

Basically I want a way to be able to track my billable time using Tasks and
have the details of the work performed to also be on the invoice so my
clients know what was done according to what they are being billed for.

What are your thoughts on this Lon?

Thank you.

Hmmmm... Rich, I'm sorry I don't have the integration setup right now to
test. On pages 185-186 of my Dummies book, I explain that the Billing
Description on the Task flows into the Description on the Time Entry. I'm
wondering if there is a difference in taking it directly to an Invoice.
That might be a bug or a design oversight... Could you try sending the Task
into MOA as a Time Entry first, then create the Invoice?

Thanks,
Lon
