I use ON between several users 5-10 transfering anywhere from 50 - 100 documents a day. We have had a problem with ON either duplicating documents and or missing or deleting documents. Any suggestions?

Are you using the ON synchronise to "transfer" the notes? Any other method is generally reported in this NG as being limited.

Just to give a general idea of what we are trying to do:
We have a network running in "One Note" processing about 800 PDF files at a time. Each PDF file is anywhere from 500kb - 750kb. We have about 7 transition notebooks in place with 5-8 folders per notebook. We have about 12 different users that can access our "One Note" network at any give time and tranfer PDF's from folder to folder.
Questions:
When we move PDF files from folder to folder, they are duplicating at random. We need to now why? Also when tranfering PDF's from folder to folder they are deleting themselves at random. We have tried tranfering the files one at a time as well as moving them in small groups with the same results.

I wonder whether OneNote is the right tool for this job. It certainly seems an unusual way of using it. Perhaps you could explain a bit more about your circumstances. Why are you using it? What do you mean by "processing" PDF files?

We are committed to using ON on our network. Our processing includes QC, clarity, and validity of our documents. As stated earlier the issue is:

What does "processing" mean? Do you - insert links to the PDF files, - embed the PDFs, - print the PDFs into an ON notebook ???

As Steve I do not really understand what your doing and *why* you are using ON for sharing PDFs in a network. ON is good for many things but IMHO it's not an instrument for work team handling of masses of PDFs. AFAICS Adobe might provide the proper instruments.

Yes, we have several different transition folders uploaded into "One Note." During the course of the day we have users on our network reviewing, editing, and moving PDF files in "One Note." We suspected that due to the volume/activity in "One Note," it is causing our system to "glitch." Do you agree? Also, we are very interested in the AFAICS Adobe program you mentioned. Based on my description of our network, do you think the Adobe program will help?

I'm so sorry, "AFAICS" is *not* a piece of software. It's just one the basic acronyms/abbreviations in the world of e-communications. It stands for "As Far As I Can See".
I just had Adobe Acrobat 9 in mind possibly the "Extended" version, start here: http://www.adobe.com/products/acrobatproextended/ and check especially "Work better with everyone" and "Share your ideas". Wouldn't "Collaborate Live" be a most useful thing for the issues discussed here?
Perhaps the "Pro" version http://www.adobe.com/products/acrobatpro/features/ might be sufficient, but I can't say as you leave us the dark.
For further advice pls give us a *complete* scenario explaining what the "sharing" of notebooks is aiming at and how the workflow is laid out.

I'm still having tremendous difficulty visualising what you are trying to achieve, but I strongly suspect this is *well* outside the anticipated usage for One Note when Microsoft wrote it.
It is quite possible, due to this abnormal useage, that you are suffering a bug which nobody has found before.
One Note is not intended to be a networked, multi-user document management system! There are many more appropriate solutions.
You say that changing away from OneNote is "not a choice", but it is *always* a choice! Your IT department will simply have to come up with an alternative if OneNote is not suitable.
I'm sorry I can't be of more help. I think you would be well advised to pay Microsoft for some expert support in this case.

I want to thank all three for your tireless efforts in overcoming this perplexing dilemma. I know it is intriguing on exactly the "why" of my operation. Mr Schorr's reply as to using network folders should be considered by all in my situation, but as stated at this time is not an option.
Would either of you have an idea as to what is causing the duplication and missing files ? Is it the translation of the PDF with Micosoft ? Is it a networking issue with the CACHE system? These are the questions that are being asked to me to solve.

Joe, it sounds like you need a different tool for this. I haven't finished reading the whole thread of this discussion, so I don't know if any or all of the following have already been recommended, but you may want to consider some of the following options:
1) Groove 2007 has the ability to sync folders between computers, without the need of any network. It does it through the Internet. Groove has to be installed on all systems involved for this to work, so for just file sync operations it could be a little costly, but you might want to look into it anyway via the trial version. Groove offers a LOT of other cool groupware features which could be very appealing to you!
2) Windows Live has a tool called FolderShare that provides automatic sync of files across computers through the Internet. This is a free service, and it seems to work pretty well, but I haven't tried it for more than just keeping a couple of folders sync'd between my laptop and desktop systems. There is also a limit to the size of the content of the folders that can be sync'd.
3) If you are using a server-based network, rather than just peer-to-peer, you might see about implementing SharePoint Services on the server. There's also the full SharePoint Server option, but that costs $$. SharePoint _Services_ is a free-for-the-downloading network component.
4) Another server-based network option is to set up a network share on the server to hold the main repository of the files, and use the Offline Folders/Files component of Windows to keep a copy of the share's contents on your computers. Change anything in the copy of the share, and next time you hook up to the network you will be prompted to sync up with the server to put your changes online. The only real hitch to this is if you change one file, and someone else keeping a copy of this file offline changes that same file on his/her computer's offline copy, then there's a sync conflict that has to be resolved. I haven't used this option in a long time so I don't remember how well Windows handles this.
Anyway, those are some options to consider.
And I apologize for any typos. As I write this, I'm riding home with my wife on the Ortega Highway in southern California, which has more twists and turns than any road I can remember ever being on. Makes typing a little hard....
