MailMerge Doc Size
jkjmwilliams 10/9/2008 2:51:03 PM
Is there a limit on how large a document can be to be sent in MailMerge? I'm
trying to send a 6 page document, and it is not going through. A smaller, one
page, doc goes through just fine.

I forgot to add that this is for email.

I am not aware of any such limit imposed by the mail merge utility. Is the
6 page document being sent as HTML while the one page is sent as text.
There are I believe issues with sending as HTML.

Considering that formatting is likely to be an issue with a 6 page document,
it might be preferrable to send it as an attachment.

I did some research on it today, and I left the source at work so I can't
tell you where I read it, but I think it was a MS "how to page". (I hope it's
still in my history), but it said it could only be 2 pages and no more than
5MB. All of it was sent HTML. I whittled it down to two pages, (which it
really should have been anyway, [I didn't write it]), but when I sent it, it
still all came back. More on the error code tomorrow...When I looked at it
again, one of the sentences had jumped down to the 3rd page. It's weird
because it will go through inner office mail just fine. It's when I send it
out to real people, I get every bit of it back. I read where MM would send up
to 2000 at a time in 15 min intervals, but only 100 and it is under 5MGs. I
sent out another group email that was on one page and it worked just fine.
I'll check my 2 page thing tomorrow and get back with you on the error
message I'm receiving. I'm in Office 03. Please check back for updates as
this is the boss's wife's project and I'm ready to move on. Any help would be
grrrrreatly appriciated!

Many mail systems will have a limit on the size of external mail items of
less than 5MB.

See the "Individual Merge Letters" item on fellow MVP Graham Mayor's website
at:

http://www.gmayor.com/individual_merge_letters.htm

If you are using Word XP or later, the "Add-in to Merge Letters to Separate
Files" that I have written and that can be downloaded from that site will
allow you to create each letter as a separate file with a filename taken
from a field in the data source with a minimum of fuss.

I would suggest that you make use of the addin mentioned above to create
individual .pdf documents, which, by adjusting the settings in the Adobe PDF
printer so that it produces the smallest size file, should allow you to get
the size of the individual files down to a few hundred KB.

Then use the information in the following article to send those files out as
attachments

"Mail Merge to E-mail with Attachments" at

http://word.mvps.org/FAQs/MailMerge/MergeWithAttachments.htm
