SBS 2003 pop connectgor eating emails
Ron Scott 03.07.2007 18:08:02
Hello all -
I also posted this in another forum but was told this is the place to be,
apologies for the extra post.

I've searched this site and seen similar posts but cannot resolve my issue.
I have a newly installed 2003 sbs server with the POP3 connector configured
to deliver mail to users boxes. I am sure I have it set up correctly.
However nobody is recieving external mail. I tested a few accounts by
sending from hotmail, and my own home address, and nobdy recieves. The log
files do not show any errors, and I ran the troubleshooting procedures,
including telnet external server etc, all checked out ok.
Temporarily I added pop info back to everyones outlook 2003 and its all fine
now. But some people are saying they were sent mail in the past day or so and
its nowhere to be found. All the folders where mail should be stored are
empty. I am puzzled.

Two questions. First, the other day I brilliantly decided to install Outlook
2003 on the SBS server, then read it was not supported, so I removed it. Has
this changed something??
Second, I read somewhere something about routing. All my users use first
initial last name for their email, but first name only for server login. So a
user Bill is actually bill[ at ]abccompany.local, but his email address is
bsmith[ at ]abccompany.com (mail is hosted externally)

Am I missing something? A little frustrated and lost and really hopeful
someone can point me in the right direction.

Thank you!

This is no problem as, in the POP3 Connector management you select the user from
the AD and give it the external mailbox to collect from. You did do that for
all your users?

Hello Ron,

Thanks for posting in our newsgroup.

From your description, I know that you setup POP3 connector but it doesn't
work. If I am off-base, please don't hesitate to let me know.

Here are the answers to your questions:

First, the other day I brilliantly decided to install Outlook 2003 on the
SBS server, then read it was not supported, so I removed it. Has this
changed something??

Yes, it's not supported to install Outlook on SBS server. But that is not
the cause of the problem. Based on my experience, this may be caused by the
incorrect the configuration of POP3.

Second, I read somewhere something about routing. All my users use first
initial last name for their email, but first name only for server login. So
a user Bill is actually bill[ at ]abccompany.local, but his email address is
bsmith[ at ]abccompany.com (mail is hosted externally)

This is not the cause of the problem. Here is the mail flow how the mail
from bsmith[ at ]abccompany.com routes to bill[ at ]abccompany.local.

1. The POP3 Connector service connects and logs on to the remote POP3
server.

2. Mail from bsmith[ at ]abccompany.com is retrieved and placed into the
%systemroot%\Program Files\Microsoft Small Business
Server\Networking\POP3\Incoming Mail folder.

3. The Microsoft Collaboration Data Objects (CDO) will pick up the mail
that is in the Incoming Mail folder. The headers of the messages will be
modified to indicate that the messages are being sent to a local Exchange
mailbox user, and then the mail will be placed into the
%systemroot%\InetPub\mailroot\Pickup folder.

4.If the CDO is unable to send the message to the Pickup folder, such as if
the message is corrupt, then the e-mail message will be placed in the
%systemroot%\Program Files\Microsoft Small Business
Server\Networking\POP3\Failed Mail folder.

5.All messages that are in the Pickup folder will be processed by the local
SMTP service and sent to the appropriate recipient (bill[ at ]abccompany.local).

Based on my experience, I'd like to give you the following suggestions:

Step 1: First please rerun the CEICW wizard. This helps to configure the
network and e-mail setting correctly:

1. Run the CEICW and configure the network settings.
2. Go through firewall option.
3. In the Internet E-mail tab, please click to "Enable Internet E-mail".
4. In the Email Delivery method page, please choose the correct email
delivery method. If you need to forward internet email to your ISP
Smarthost, please input the Smarthost address correctly. If you use DNS to
route emails, please choose this option.

Note: If you choose to forward emails to the ISP's email server (smart
host), you need to type the FQDN of the ISP's email server. If your ISP
provides you the IP address of their email server, for example,
12.34.56.78, you should type the IP address as "[12.34.56.78]" (without the
quotation marks) on the connector's properties page.

5. In the E-mail Retrieval Method page, check the "Use the Microsoft
Connector for POP3 Mailboxes" check box, click Next.
6. In the E-mail Domain Name page, enter your registered e-mail Internet
domain name, (i.e. domain.com).
7. In the POP3 Mailbox Accounts page, click Add and add the appropriate
POP3 mailbox accounts, you need to input the following:

E-mail server
User name: bsmith[ at ]abccompany.com
Mailbox type: User Mailbox
Exchange User: bill[ at ]abccompany.local

Do the same steps to configure other users.

8. Input the correct information in the rest page and finish the wizard.

In addition, to configure the Outlook to receive e-mail from Exchange
server, please make sure Outlook is closed, and then locate to the client
computer folder 'C:\Program Files\Microsoft Windows Small Business
Server\Clients' (or '\\SBS2003Server\clients\Setup' if the folder is not
created on the client computer,) double click sbsdefault.prf, this will
automatically create the outlook profile with the correct settings (which
also include the FAX Transport) for the corresponding domain user.

If the problem persists, please enable diagnostic logging for the POP3
Connector on SBS 2003, reproduce the problem, and then send the event logs
toe me for analysis:

1. Click Start, point to Programs, point to Microsoft Exchange, and then
click System Manager.
2. In the left pane, expand the Connectors node.
3. Right-click POP3 Connection Manager, and then click Properties.
4. Switch to the ''Troubleshooting'' tab, and then change ''Logging Level''
to ''Maximum''.
5. Click OK to apply changes.
6. Close the System Manager console.
7. Click Start, point to Programs, point to Administrative Tools, and then
click Services.
8. In the left pane, right-click Microsoft Connector for POP3 Mailboxes,
and then click Restart. After the service restarts, close the Services
Management console.
9. Reproduce the problem.

10. Please also send me Exchange MPS report on the SBS server.
a. Visit
http://download.microsoft.com/download/b/b/1/bb139fcb-4aac-4fe5-a579-30b0bd9
15706/MPSRPT_Exchange.EXE to download the file.
b. Run the MPSRPT_Exchange.EXE on the server box.
c. Wait for 10~15 minutes.
d. Open Windows explorer, navigate to %SYSTEMROOT%\MPSReports\Exchange\cab\
e. Send the .cab file directly to me.
Please send the information to v-robeli[ at ]microsoft.com with subject:

I am looking forward to hear from you.

Robert's post has it all. I have worked with such posts, and they can
seem very daunting and dense, and I tend to make lots of mistakes in the
process. For the same information, with a little more explanation and
hand holding, not to mention 9X12 color glossies for the blind justice of
history, see the following blog posts:
