Highlighting in PowerPoint and pdf files
VenturaDon 05.07.2007 20:26:04
I'm a newbie to tablet pc's - just got an HP tx1000 (with touch screen) with
Vista Business to be used for presentations. I need to be able to highlight
stuff in pdf files & powerpoint slides which I "assumed" I could do with a
tablet pc - like Windows Journal which works great. But don't know how to use
the pen (in highlighter mode) in apps like PowerPoint - do I need to acquire
3rd party software to do this?

In Powerpoint select ink annotations, one of the options is a set of
various coloured highlighters

For PDF's by far the best option is PDFAnnotator, third party but very
very good.

I am not a big PowerPoint user but when I have used it in the past I saw a
really cool and pretty ingenuous feature that let you annotate the slides
during the presentation using some on-screen buttons near the bottom left of
the screen that aren't very distracting. Then when the presentation is over
you can choose to keep or discard the annotations. That last part is what
impressed me most about it because it meant they obviously put some thought
into the use case. Most of the time you'd be doing a "John Madden" on the
slides while presenting and you wouldn't necessarily want to keep the
annotations.

It might only enable these features if it detects that you have a Tablet PC
but I'm not sure if the HP tx1000 has the right HID driver to advertise this
capability to Windows. I know HP doesn't consider the machine a Tablet PC.
Since I don't actually have a non-tablet at the moment I can't check to see
if the feature is always present.

Will also add that you can "print to journal" from other apps and
annotate within journal.

If you only need annotation during the presentation, there's a small
free app I use which allows annotation on the fly using the "John
Madding" draw on screen method, but it's not easy to capture for later
use. I'll look for the site it that might meet your needs.

Invalid - thanks for the info on PDFAnnotator. I've bought it, played with
it & it works just great on my pdf files! Thanks for that tip!

Josh - thanks for your tip! I'm not familiar with the John Madden app (?)
for annotating PowerPoint slides on a tablet, but will continue researching
that. Beverly - if you find that app, I'd love to try it.
Have a great weekend y'all!

http://bevhoward.com/stuff/Marker.zip

The MVP author, Richard Grimes, gave permission to post the file.

It works well, but there's almost no documentation, so a couple of user
notes to help demystify your first outings with it.

When you run it it installs in the systray

It activates when you click the icon and you press escape to end the
"markup" (with the tablet, right-tap the icon, then tap "finish")

It's important to understand that the way it works is that once it's
activated (mouse answer changes to scope sight) what appears on the
screen is a static image of the screen, so you are marking up an image
of the desktop rather than marking on the desktop itself.

Each time you reactivate it, the previous "marks" are added to the new
screen"

Rightclick the systray icon to see the other options, including typing
text on the screen. I've found that a red marker color works best.

The feature I was referring to is built into PowerPoint. At least in the
2007 version but I believe also in 2003. When you're viewing a presentation
you should see some annotation controls near the bottom of the screen. I
referred to it as "John Madden" as a reference to the way sports
commentators often write on the screen during replays in football or
something. It isn't a real term used for the feature.

The screen annotation feature is available in both PowerPoint 2003 and 2007.

It only appears when presenting in full screen mode (not windowed mode).

It is a little tricky to switch colours (just a lot of clicking around). I
find it tedious to change from the pen to the highligher too.

I think someone suggested printing to Windows Journal. If you don't mind
losing animations and build effects (not a big loss if you are using ink),
print to Journal and use that as your presentation tool. Try it, and you
should find that the navigation is much simpler and the inking interface is
much better.
