address book field mapping
"rudykevin[ at ]comcast.net" <rudykevin[ at ]comcast.net> 19.09.2006 05:01:18
I use outlook 2003 in xp. When I view address book, my contact names
are listed along with their email addresses but it does not show the
fax numbers. Is there a way to have address book also list fax
numbers?

Thanks,

Kevin

Fax numbers will show when you enter any phone number in a valid format in a
fax field.

my contacts do have fax numbers listed in valid formats in Outlook,
they are just not visible when viewing within address book. Address
book shows separate line for each contact's email address but does not
show any of my contact's fax numbers. I read somewhere that people can
hide fax numbers if they do not wish to see them, however I have never
hidden the fax numbers as I want to see them within address book.

Sue, the address book does show as separate entries each contact with
multiple email addresses. However, many of these contacts also have
fax numbers which are not showing at all in address book. In address
book there is not even a column for fax numbers. Can I configues the
view within address book to show fax number fields?

Describe what one of the fax numbers looks like that you believe to be in a
valid format. Is the fax number underlined in the Contact item?

yes, the fax numbers are underlined within the contact item. the area
code is in parenthesis followed by the 7 digit numbers

There is no column in the address book for fax number, nor can one be added. What we're trying to get across is that the presence of a fax number, as an electronic address, will cause an additional entry for that contact in the address book, with the address displaying the fax number.

This built-in behavior cannot be changed in any way. If you have a contact that has a fax number, but you are not seeing a separate address book entry for that fax number, then try entering the number again and saving the contact.

Then look again.
The fax numbers will appear as separate entries in the Address Book view.

I did look again and found one contact showing a fax number in address
book. This was a new contact I added yesterday. This seems to
indicate an issue with how the fax numbers were originally entered.
The rest of my contacts were imported from a comma separated file I
created from Outlook on another computer. I did re-enter fax numbers
in my contacts folder and re-saved the contacts and what do you know?
The fax numbers now appear in address book. I was trying to avoid
re-entering every fax number. I wonder why the fax numbers were not
already recognized in address book since they were correctly imported
in Outlook to the correct field

That's one of the problems with importing.

Numbers will not appear until they are resolved. Imported numbers are not
resolved until you open and save the Contact Record into which you imported
them. You won't have to re-enter any numbers, but you will have to open and
save each Contact. You could also try removing the Outlook Address Book
Service, restarting Outlook, then re-add it to see if that forces
resolution.
