How I made searching work in OneNote 2007
Peter Maddern 05.07.2006 09:39:01
For a couple of days, searching my newly downloaded OneNote 2007 multiple
notebooks using Windows desktop search 3 didn't work for me at all. I was
able to search within the page I was in but not in multiple notebooks. I
tried every combination of actions to fix this, for example, uninstalling
WDS3, rebooting and reinstalling as well as repairing OneNote 2007.

I did the following and it fixed things for me:-

Control panel
Indexing options
Modify
Deselected all folders except my OneNote folders (I figured that I only
wanted to index my OneNote folders - indexing my whole hard drive was
unnecessary and too time-consuming and in any case, I use Yahoo desktop
search for that)
Advanced
File types
Scroll down to file type ".one"
Select "Index Properties and File Contents" in the button selection area at
the bottom
Close

I left indexing to run overnight.

Result - full OneNote indexing now worked well and was extremely fast too!

Prior to this procedure I had selected "Index Properties and File Contents"
and thought that this selection applied globally to all file types. Then I
realised you have to make that selection for each specific file type.

Hope this helps everybody...........

Thanks very much Peter for sharing your information in getting OneNote 2007
beta search feature to work for you. I'm a little confused, though about how
you found "Indexing Options" in Control Panel. That doesn't appear in my
Windows XP Home Control Panel.

I was, however able to drill down to Services and Applications and then
System in the Computer Management window and find Directories. In the right
pane, I saw the folders that Indexing was enabled to search. I assume I can
add a folder, "My Notebook" to that list? Is this what you did?

I certainly agree that having Indexing Service spend time and computer
resources indexing useless files and folders just to allow search in OneNote
is a waste. Being able to specify .one files only would certainly make the
beta more attractive.

Can you be more specific in how you did this? I'd like to give beta 2007
another chance, but this involves re-imaging my hard drive just to accomotate
running 2007 beta again. (lazy me)

When I tried to initially run a search in OneNote 2007, I was prompted to
download Windows Desktop Search (WDS 3 Beta) from here:-
http://www.microsoft.com/downloads/details.aspx?FamilyID=36E38453-6E20-4CF7-8BFC-1CAC7F35DA49&displaylang=en

It's my understanding that this is the version that's needed to work with
members of the Office 2007 family.

After installing, when you go to "Control Panel", you will see the icon
"Indexing Options". Sorry I didn't mention all this in my posting but I
assumed that everyone downloading ON 2007 and attempting to search with it,
would be prompted to install WDS 3 Beta

Ok, it finally occurred to me that desktop search beta 3 needs to be
-installed- in order to see the options you (and others) have mentioned. I'm
going to try and install OneNote 2007 beta again and give it another run
using your suggestions.

Thanks!

Peter, many thanks for this most helpful post - like you I was prompted to
instal wds, but when I did so nothing else seemed to happen and I was
completely lost so this has gotten me back on track. one small niggle is that
when i open the indexing options I seem to have a lot of boxes checked that i
cannot uncheck - any thoughts?

btw - does desktop search run as a standalone function?
